Smarter HoReCa

Shift scheduling and time tracking for hospitality

A schedule in a spreadsheet or a WhatsApp group does not tell you who actually came and when. Smarter HoReCa plans shifts from a weekly template, workers start their shift on the phone at the venue, and when someone does not show up, the app looks for cover on its own.

How Smarter HoReCa helps

  • Shift schedule and clock-in at the venue

A weekly template per worker plans the shifts for 7 days. The shift starts on the phone at the venue (GPS only at start and end, never during work), and hours for pay and tips come from the shifts.

  • No-show radar

If a worker has not started the shift 10 minutes after the plan, the manager is alerted. After 20 minutes, colleagues in the same position are asked to step in, and the first to accept takes the shift.

  • Fair tip sharing

The manager enters the day's tips and picks a split rule, hours come from the shifts, and every worker sees their share and confirms it or raises an objection.

  • Team chat instead of WhatsApp groups

A room for the whole venue, groups per department and direct messages, without private phone numbers.

  • Checklists for every position

Each worker sees the tasks of their shift on their phone in order: opening, during the shift, closing. One tap per task, with at least 3 minutes between two ticks, so nobody ticks everything at the end.

  • Nightly report for the owner

After 23:30 you get a short summary of the day in the app and by email: money at risk, differences, unfinished shifts. If everything is fine, the message is short.

Frequently asked questions

How does the app know the worker is really at the venue?

At the start and end of the shift the phone checks the location (150 m radius by default). The location is never tracked during work. Without GPS, the worker uses a code from the manager's phone or a request the manager approves with one tap.

What if a worker does not show up?

After 10 minutes the manager is alerted, and after 20 minutes colleagues in the same position are asked to step in. The first to accept takes the shift.

Can staff request days off or swaps?

Yes. Holidays, days off, sick leave (without a diagnosis) and shift swaps are requested in the app; for a swap the colleague accepts first and then the manager approves.
